    • Can I only submit a request via the internet?
      Using the online reservation form offers tremendous advantages. Not only is the form available 24/7, it also helps speed up the processing time of your request. In addition, you will immediately receive a copy of your request via e-mail.

      The Domestic Group Travel Department is only available by telephone at tel. +32 2 528 28 28.
    • When should I make a reservation?

      The latest possible date for booking a group ticket depends on your preferred ticket delivery method.

      • You prefer to collect the group ticket from the service desk at the station of your choice.
        • In this case, you must book your ticket at the latest 7 working days prior to your travel date.
      • You prefer to receive the group ticket via mail (postal service).
        • We need to receive your request at least 12 working days prior to your travel date.
      Many trains have a limited number of seats available. Large groups are therefore advised to submit their request as early as possible.
    • I only want to reserve a seat, without a group ticket.

      Unfortunately, this is not possible. Only group tickets are eligible for reserved seating.

  • Confirmation
    • When will I know if my group journey is confirmed?

      Upon receiving your request, we will determine which trains have a sufficient number of seats available. We always try our best to take into account your preferred departure and arrival times. We then send you an e-mail with a fully detailed proposal.

      If you still have not received a proposal 7 days prior to your travel date, please contact our Group Travel Department. We will address the matter as quickly as possible.
  • Modification -cancellation
    • What if the composition of the group changes?
      • If you have already paid for the group ticket: please go to the station service desk.
        • An increase (max. + 10) of the number of travellers is only possible at the latest 30 minutes prior to the departure of the train, provided you present us with your reservation.
          We cannot guarantee seats for additional travellers.
        • A decrease (max. – 10) of the number of travellers is only possible at the latest 5 working days prior to the date of departure. The amount to be reimbursed for the number of people who do not travel will be reduced by an administrative fee (€ 5 per group and per one-way journey).
          Please note: after adjustment, the group must still number at least 15 paying travellers.
      • If you have not yet paid for the group ticket.
        Contact the Group Travel Department (see above) by telephone at the latest 5 working days prior to departure date.We will adjust your booking.
        Please note: increasing the number of group members is only possible if a sufficient number of seats is available. When the number of travellers is decreased, after adjustment the group must still number at least 15 paying travellers.
    • What if I would like to cancel my group travel?

      Cancelling group bookings is possible until at the latest 5 working days prior to your departure date.

      • Please take your ticket to your train station if you have already paid for the group ticket. The group ticket will be reimbursed in full after deduction of an administrative fee of € 5 per travel route.
      • If you have not yet paid for the group ticket, please contact our Group Travel Department by telephone.

      A request for reimbursement submitted less than 5 working days prior to the date of departure is not entitled to reimbursement.

      If the trip is cancelled due to exceptional circumstances, please submit a reimbursement request to our Central Customer Service Department together with the original group ticket, the booking confirmation and any necessary supporting documents.
  • Payment
    • How is payment for a group ticket arranged?

      The payment method depends on the way you would like to receive the group ticket.

      • You prefer to collect the ticket in a station: you pay cash or with a bank card at the counter. Payment must occur at the latest 5 working days prior to your travel date.
      • You prefer to receive the group ticket via mail (postal service): you pay via bank transfer. The amount payable must arrive in our account at the latest 7 working days prior to your travel date.
